Privacy Policy

EZCallPro (“EZCallPro”, “we”, “us”) is a software service for home-service businesses, operated from Illinois, USA. This policy explains what information we collect, why, and who it is and is not shared with.
We serve two kinds of people, and the difference matters throughout this policy:
- Our customers — home-service businesses (plumbing, HVAC, electrical and similar trades) that use EZCallPro to run their operations.
- Their customers — the homeowners and property managers who call, text or book a service visit with one of those businesses.
We do not sell personal information, and we never share text-messaging opt-in information or consent with any third party for their own marketing purposes.
1. Information we collect
From the businesses that use EZCallPro
- Account and contact details: business name, legal entity name, address, phone number, email, and the names and roles of the people you invite to your account.
- Billing information. Card details are handled by our payment processor and are never stored on our systems.
- Business records you enter or import: customers, service addresses, equipment, jobs, schedules, estimates, invoices, price book and photographs of work.
- Usage and diagnostic data: log-ins, feature use, error reports and performance data.
From calls and messages
- Call records — the numbers involved, the time, the duration, and the outcome of the call.
- Transcripts. Calls handled through EZCallPro are transcribed so that booking details can be captured accurately. Every call opens with a spoken disclosure that the call is being transcribed, in every state, and this is not a setting a business can turn off. Where a business chooses to store call audio as well, that choice is theirs and the same disclosure applies.
- We do not create voiceprints and we do not identify anyone by their voice. Separating two speakers by audio channel is not the same thing as identifying a speaker, and we only ever do the former.
- Text messages sent and received through EZCallPro on a business’s behalf, and records of consent for marketing messages.
- Payment card numbers spoken aloud on a call are detected and removed before a transcript is stored.
2. How we use information
- To provide the service: answering and routing calls, capturing bookings, scheduling work, producing estimates and invoices, and taking payment.
- To send messages a business has asked us to send on its behalf — appointment confirmations, reminders, “on my way” notices, invoices, receipts and review requests.
- To support, secure, debug and improve the service.
- To bill our customers and to meet our legal and tax obligations.
We do not use the contents of a business’s records, calls or messages to train general-purpose AI models.
3. Text messaging
When a business uses EZCallPro to text its customers, that business is the sender and EZCallPro provides the infrastructure.
- Service messages — appointment confirmations, reminders, arrival notices, invoices and receipts — are sent to people who have given the business their number in the course of doing business with it.
- Marketing messages are sent only to people who have affirmatively opted in. Consent is never a condition of booking a service, and we do not accept pre-checked boxes as consent.
- Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply. Message frequency varies with the work in progress.
- Mobile opt-in data and consent records are not shared with any third party for marketing purposes, and are never sold. They are used only to send the messages the recipient agreed to receive and to prove that consent if it is ever questioned.
4. Who we share information with
We share information only as needed to run the service, and only with providers bound to protect it:
- Telephony and messaging carriers, to place, receive and deliver calls and texts.
- Speech-to-text and AI providers, to transcribe calls and to draft the booking details a person then confirms.
- Payment processors, to take card payments. They are the merchant of record for a business’s own charges.
- Hosting, storage and email providers.
- Services a business chooses to connect itself, such as its accounting software or its Google Business Profile.
We also disclose information where the law requires it, to protect rights and safety, or in connection with a merger or sale of the business — in which case this policy continues to apply to information already collected.
5. Who owns the data
A business’s records belong to that business. It can export them at any time, including when it stops being a customer. If an account is cancelled we keep its data for 90 days so it can be recovered or exported, and then delete it.
6. Security
Data is encrypted in transit and at rest. Access is restricted to what a person’s role requires, and changes to records are logged. No system is perfectly secure, and we will notify affected customers promptly if a breach affects their information.
7. Your choices
- Homeowners and other consumers: if a business texted or called you using EZCallPro and you want your information corrected or removed, contact that business directly — the records are theirs. You may also write to us at the address below and we will pass the request on. Reply STOP to any text to stop receiving messages.
- Businesses using EZCallPro: you can access, correct, export and delete your records in the app, or ask us to do it.
- Depending on where you live you may have additional rights over your personal information, including the right to know what we hold and to ask us to delete it. We honour those requests regardless of where you live, and we do not discriminate against anyone for making one.
8. Children
EZCallPro is a tool for businesses and is not directed at children. We do not knowingly collect information from anyone under 16.
9. Changes
If this policy changes materially we will post the new version here with a new date and notify our customers in the app or by email.
